Vendor Management Analyst

    Job Purpose

    The purpose of this role is to provide detailed, consistent and strong support to the Vendor Management Office (VMO) and will consist of Provider management activities across various Provider spend categories and operational areas such as relationship management, risk management, performance management, contract management and financial management. The role acts as a liaison and facilitates the way vendors and enterprise customers/stakeholders work together, communicate, collaborate, optimize and resolve issues.

    Strategic Roles and Responsibilities

    • Ensures implementation of adequate and accurate data and reporting mechanisms for Provider related data to enable business decision making
    • Measures and monitors Provider performance, adherence to contract terms and conditions, vendor resources and capacity, and ensures that appropriate resources are allocated by the vendor/Provider(s)
    • Supports in the development of new methodologies for reporting as requirements and programs change
    • Monitors vendor/Provider deliverables and obligations
    • Tracks and reports on all risks associated with vendor contract compliance and service performance issues/deficiencies in a proactive and timely manner
    • Participates in governance committees related to Sourcing

    Functional Roles and Responsibilities

    • Supports in the Management of VMO processes and Provider reporting based on assigned VMO function from relationship management, risk management, performance management, contract management and financial management
    • Performs vendor risk assessment and is responsible for managing vendor risk remediation and product/service-related issues and escalations
    • Maintains Performance Scorecards based on contracts (Service Level Agreements)
    • Prepares routine and ad hoc reports for Vendor Management
    • Supports in calculating service credits etc. as applicable
    • Assists in the development and implementation of program efficiency measures and metrics
    • Analyses Provider performance data and identify trends, gaps, risks etc.
    • Provides feedback to Providers on key resources assigned to the organisation
    • Support the audit and procurement teams to ensure that periodic reviews of Provider performance are conducted
    • Documents and updates all VMO processes
    • Organises and participates in Provider related meetings such as monthly and quarterly business reviews

    Education/Certification:

    • A relevant University degree/technical certification, and/or relevant experience
    • Six Sigma, Lean certifications preferred
    • Understanding of relevant standards such as ITIL V4, PMP/PgMP, COP, COBIT and others as applicable

    Years of Experience:

    • 3-5 years’ experience in IT in a large company, in positions related to Vendor Management functions in an outsourced organisation
    • Experience with Retail industry or industry conglomerates, ideally in the Middle East

    Knowledge and Skills:

    • Understanding of sourcing contract value, terms, conditions, as it relates to the overall long-term objectives of the business
