We are seeking a reliable, professional, and customer-focused Long-Term Receptionist (Agent) to be the first point of contact for our company. The ideal candidate will play a key role in creating a welcoming and organized environment, handling a variety of administrative support tasks, and ensuring that all interactions are handled with warmth and efficiency.
Key Responsibilities:
- Greet and welcome guests, clients, and employees in a professional and friendly manner.
- Answer, screen, and direct incoming calls promptly and efficiently.
- Manage front desk operations, including handling inquiries in person, by phone, and via email.
- Schedule and confirm appointments, meetings, and interviews.
- Maintain a clean and organized reception area.
- Receive, sort, and distribute daily mail and deliveries.
- Provide basic information about the organization and direct inquiries to appropriate staff members.
- Monitor office supplies and place orders when necessary.
- Perform clerical duties such as data entry, filing, scanning, and photocopying.
- Support administrative and HR staff with various tasks as required.
Qualifications:
- High school diploma or equivalent; additional administrative or customer service training is a plus.
- OPERA system knowledge is must.
- Proven work experience as a receptionist, front desk representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional appearance and demeanor.
- Ability to work independently and collaboratively.
- Dependability and a commitment to long-term employment.
