    Job Summary:

    We are looking to hire an Admin Assistant for a reputable logistic company in Dubai (JEBEL ALI FREE ZONE JAFZA) who will provide administrative and clerical support to the logistics team, ensuring smooth day-to-day operations. This role requires excellent organizational, communication, and multitasking skills to handle diverse tasks related to logistics and supply chain management.

    Key Responsibilities

    Administrative Support:

    • Maintain and update filing systems, records, and documentation.
    • Draft correspondence, memos, and reports.
    • Manage incoming calls and emails, directing them to appropriate team members.

    Logistics Coordination:

    • Assist in scheduling and coordinating shipments, deliveries, and pickups.
    • Maintain shipment logs and update tracking details.
    • Communicate with clients and vendors to confirm delivery details.

    Data Management:

    • Input and maintain data in logistics management software.
    • Generate reports on shipment status, delivery timelines, and operational performance.

    Inventory Support:

    • Monitor inventory levels and prepare purchase orders when needed.
    • Coordinate with the warehouse team for stock management and replenishment.

    Compliance and Documentation:

    • Ensure all shipping documents, invoices, and permits are accurate and up-to-date.
    • Maintain compliance with company policies and logistics regulations.

    Team Collaboration:

    • Work closely with drivers, dispatchers, and the logistics team to resolve operational issues.
    • Coordinate meetings, take notes, and distribute minutes.

    Qualifications and Skills

    Education:

    • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred.

    Experience:

    • Proven experience as an administrative assistant or in a similar role (experience in logistics is a plus).

    Technical Skills:

    • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
    • Familiarity with logistics or inventory management software (e.g., SAP, Oracle, or WMS).

    Soft Skills:

    • Excellent organizational and multitasking abilities.
    • Strong written and verbal communication skills.
    • Problem-solving mindset and attention to detail.

    Other:

    • Knowledge of logistics processes and documentation.
    • Ability to work under pressure and meet tight deadlines.

    Work Schedule:

    9am – 6pm [Working days will be discussed in the interview]
