    Job Description:

    As an Administrator-Facilities, you will review and provide a comprehensive administration support required for coordinating department section functions and ensuring the smooth day to day operation of the department. This role is typically focussed on the update and maintenance of administration databases and/or systems. Interaction with contacts within other departments is routine and usually uncomplicated. The use of a computer and applications is at a more advanced level and somewhat frequent.

    General Responsibilities

    • Ensure all administrative work complies with company quality standards, procedures, and policies.
    • Support daily coordination of admin materials, requests, mail, and equipment.
    • Maintain and update databases, records, and technical data, producing reports as required.
    • Handle customer/employee queries and transactions promptly while maintaining service excellence.
    • Process bills, expenses, and documentation accurately and in a timely manner.
    • Provide support in maintaining supplies, facilities, and fixtures to ensure safe and efficient operations.
    • Conduct induction and training sessions for new joiners where required.
    • Compile reports, conduct productivity analysis, and suggest process improvements.

    Department-Specific Accountabilities

    Roles are available across several divisions including:

    • EFTA – Renewal of airside passes, database management, aircraft records storage.
    • Flight Training – Front desk support, issuing letters/certificates, facilities coordination.
    • Security Training – Manage schedules, rosters, and reports in Oracle Learning Management.
    • Group Security Command Centre – Incident logging, communication coordination, reporting.
    • Group Security Business Support – Rosters, ETHOS data, staff queries, and training organization.
    • Crime Prevention & Investigation – Incident data review, departmental coordination, research support.
    • EGIT – Facilities and supplies management, maintenance coordination, mail distribution.
    • Service Delivery – Cabin crew leave administration, content publishing, training support.
    • Insurance – Filing contracts/claims, meeting coordination, archiving old files.
    • Marhaba – Processing refunds, handling discrepancies, finance coordination.
    • Supplier Relations (Priohub & Destination Management) – Reconciliation, invoicing, financial records management.
    • Arabian Adventures – Managing technical configurations, liaising with business teams, ensuring operational impact assessments.

    Qualifications & Requirements

    • Education: 12 years of schooling or equivalent.
    • Experience: Minimum 1 year in general administration.
    • Skills:
      • Proven experience as an office administrator/assistant or relevant role.
      • Strong communication and interpersonal abilities.
      • Excellent organizational skills.
      • Proficiency in MS Office and office management software.
      • Ability to manage and analyze data accurately.
      • Familiarity with office management principles and procedures.
