As a Receptionist in the Medical Services team, you will be responsible for supporting aviation medical licensing processes and ensuring smooth, high-quality front-desk operations across medical and dental reception areas. In this fast-paced, multicultural environment, your service and coordination skills will directly impact the efficiency and professionalism of our healthcare delivery.
Key Responsibilities:
Medical Licensing & Administration
- Coordinate processing of local and international aviation medical licences for flight and cabin crew.
- Liaise with internal stakeholders and external aviation authorities to ensure licensing procedures are completed accurately and on time.
- Maintain and update medical documentation, ensuring robust filing and recall systems in coordination with medical personnel.
- Organize and support Aviation Medical Board meetings, including handling correspondence with regulatory authorities.
- Initiate, monitor, and follow up on specialized electronic medical workflows (e.g., MEDIFs), ensuring resolution in coordination with relevant departments.
- Recommend process improvements based on workload trends and operational observations.
Reception & Telephone Room Operations
- Oversee the reception and telephone operations across medical and dental clinics.
- Monitor call volumes, waiting times, and dropped calls using telephony systems; execute resolution plans or escalate as needed.
- Ensure timely and accurate patient file preparation for appointments and handle front-line issues effectively.
- Maintain clean and orderly public areas in the clinic; coordinate with facilities teams for timely maintenance.
- Manage booking and use of clinic resources such as the conference room, library, and audiovisual equipment.
- Generate staff rosters to ensure adequate coverage for clinic hours and smooth service delivery.
Qualifications & Skills:
- Proficiency in spoken and written English.
- Computer literacy in Microsoft Word, Excel, and PowerPoint.
- Experience using multi-line business telephone systems.
- Previous experience in medical or dental administrative settings is an advantage.
- Strong interpersonal skills and experience in customer-facing roles are preferred.
- Highly organized, detail-oriented, and capable of multi-tasking in a high-pressure environment.
