Key Responsibilities

  • Provide day-to-day administrative support to the studio team
  • Maintain a clean, organized, and professional office environment
  • Manage office supplies, deliveries, couriers, and basic maintenance tasks
  • Schedule and coordinate meetings, including calendars and agendas
  • Control and maintain project documentation (drawings, contracts, reports, etc.)
  • Format and prepare documentation for presentations and tenders
  • Communicate with suppliers, request quotations, follow up on procurement
  • Ensure version control and accurate record-keeping of documents
  • Take meeting minutes and track action items
  • Support HR and employee onboarding processes
  • Assist leadership team with calendar and coordination tasks
  • Maintain inventory of materials and studio tools

Desired Candidate Profile

  • 3–5 years of relevant experience, ideally in design, architecture, or engineering
  • Experience with high-end design, resort, or development projects preferred
  • Proficient in Microsoft Office (Word, Excel, Outlook), Adobe Acrobat
  • Familiarity with AutoCAD, Revit, or Aconex is a plus
  • Excellent organizational, multitasking, and communication skills
  • Fluent in written and spoken English
  • Reliable, detail-oriented, and a team player with a positive attitude
