Job Purpose

Ensure smooth day-to-day functioning of the department by handling:

  • Communication
  • Office management
  • Travel coordination
  • Administrative support

Key Responsibilities

Communication

  • Answer and relay phone messages
  • Prepare/distribute letters, memos, and faxes
  • Coordinate with other departments to gather information
  • Draft technical documents and reports as required
  • Prepare internal/external presentations
  • Organize meeting agendas and take minutes

Office Management

  • Schedule and manage meeting reminders
  • Coordinate conferences, events, and department activities
  • Maintain organized departmental files
  • Handle office equipment and stationery requests
  • Receive and assist visitors
  • Manage leave entries and attendance tracking

Travel

  • Coordinate travel arrangements with agents and government relations

General

  • Monitor and record departmental budget expenses
  • Perform other tasks as requested by the manager

Qualifications & Skills

  • Education: Secondary education (12th grade)
  • Experience: 3 years in a similar administrative role
  • Technical: Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Language: Fluent in English (Arabic is a plus)
  • Other: Strong interpersonal and organizational skills
