Job Purpose
Ensure smooth day-to-day functioning of the department by handling:
- Communication
- Office management
- Travel coordination
- Administrative support
Key Responsibilities
Communication
- Answer and relay phone messages
- Prepare/distribute letters, memos, and faxes
- Coordinate with other departments to gather information
- Draft technical documents and reports as required
- Prepare internal/external presentations
- Organize meeting agendas and take minutes
Office Management
- Schedule and manage meeting reminders
- Coordinate conferences, events, and department activities
- Maintain organized departmental files
- Handle office equipment and stationery requests
- Receive and assist visitors
- Manage leave entries and attendance tracking
Travel
- Coordinate travel arrangements with agents and government relations
General
- Monitor and record departmental budget expenses
- Perform other tasks as requested by the manager
Qualifications & Skills
- Education: Secondary education (12th grade)
- Experience: 3 years in a similar administrative role
- Technical: Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Language: Fluent in English (Arabic is a plus)
- Other: Strong interpersonal and organizational skills
